Acceptable Use Policy

Last updated: April 2026

1. Purpose

Metaseed Hub is a collaborative platform for creating and managing scientific metadata. This policy defines acceptable use of the service to ensure a productive and secure environment for all users.

2. Intended Use

Metaseed Hub is intended for:

  • Creating and managing scientific metadata following standard schemas (MIAPPE, ISA, DiSSCo, Darwin Core)
  • Collaborating with colleagues on research data documentation
  • Exporting metadata for publication and data sharing
  • Academic and research purposes

3. User Responsibilities

As a user, you agree to:

  • Use the service only for legitimate research and academic purposes
  • Keep your login credentials secure and not share them
  • Respect the intellectual property rights of others
  • Not upload sensitive personal data (health records, financial data) unless authorized
  • Report security vulnerabilities or suspicious activity
  • Comply with applicable laws and TU Delft policies

4. Prohibited Activities

The following activities are prohibited:

  • Attempting to gain unauthorized access to accounts or data
  • Uploading malware, viruses, or malicious content
  • Using the service for commercial purposes without authorization
  • Harassing, threatening, or abusing other users
  • Violating privacy laws or data protection regulations
  • Circumventing security measures or access controls
  • Using automated tools to scrape or overload the service

5. Data and Content

  • You are responsible for the accuracy of metadata you enter
  • Do not upload data that infringes copyright or other rights
  • Ensure you have appropriate permissions for any data you enter
  • Consider data sensitivity when sharing datasets with collaborators

6. Account Deletion and Ownership

You may delete your account at any time from your profile page. Deleting your account permanently removes your personal data — your team, dataset and spec memberships, comments, notes, and drafts — and cannot be undone.

  • Every dataset and published spec must have at least one owner. Before your account can be deleted, any dataset or spec you solely own must be handed over to a new owner or deleted — you decide what happens to each.
  • Datasets and specs you share with colleagues are not deleted; they remain with their other owners after you leave.
  • Authorship recorded on content that survives (dataset versions, and specs kept under a co-owner) is anonymized rather than deleted, so collaborators' work is preserved.

7. Service Availability

While we strive for high availability:

  • The service is provided "as is" without guarantees
  • Scheduled maintenance may cause temporary unavailability
  • We recommend regular exports of important data

8. Enforcement

Violations of this policy may result in:

  • Warning and request to cease the activity
  • Temporary suspension of access
  • Permanent termination of access
  • Referral to appropriate authorities for legal violations

9. Changes to This Policy

We may update this policy as needed. Significant changes will be communicated to users via email or in-application notification.
